BENEFITS UPDATE:

Direct Deposit – Investigating ways to cut the costly process of producing checks for employees who do not elect the direct deposit program.  One possible solution is for new employees to have payroll deposited to ATM account.  Additional research is required.

Long-Term Care Insurance Policy – Exploring the possibility of offering a Long Term Care Insurance Policy on a voluntary basis.  The policy covers nursing care costs as well as home care at different levels of benefits.  It is a policy that you could purchase for yourself, your spouse, or your parents.

Vision Care – Investigating program. Will be a voluntary program that will cover a portion of the cost of exams and glasses.

Health Insurance - Plan has been working great, hardly any complaints.  However, we have exceeded maximum liability. This increase was not due to freedom of new coverage provided, but to high usage of the plan in 1999.  Premium rates will increase for calendar year 2000, however at this time we do not have the information to share.

Dental Plan – negotiating benefits and cost.  There will be a slight increase in premium rates.

Workers Compensation – We have had an excellent year in 1998 with very few work place accidents which has decreased our costs.

Life Insurance/Long Term Disability – The College will experience a rate increase in the Life Insurance Plan with a slight decrease in the Long Term Disability Plan.  This will not affect employees since the College pays for the full cost of these benefits.

MERIT SYSTEM: It was decided that the College should continue to provide salary adjustments based on a merit system.  Most departments made salary adjustments based on merit.  Some departments due to their size gave the salary adjustment on an across the board basis.

CONSTRUCTION UPDATE: Crummer due to complete at the end of September.  Field House construction has begun.

FAIRBANKS AVENUE: Discussion regarding the safety of individuals crossing from the parking garage.  George Herbst would like another study.

Letter from Charissa Smith, Student Services Chair for Student Government.  She will be the staff/student liaison.  We have invited her to come to the next SAC meeting in October.

ADJUNCTS: Is there an orientation for adjunct instructors?  Adjunct orientation falls under the Dean's area.

Director’s Report:

SAC - Vacant Positions
The announcement of two vacant positions on the current SAC, Ann Mikell has left the college and Jackie Ghirla has submitted her resignation, effective in the near future.  The SAC agreed the position vacated by Jackie, with a remaining term of less than one year, will be filled by the next election in March 2000.  The  position vacated by Ann, with a term ending in September 2001, will be filled by the person with the most votes from the last election.  This person has been identified as Udeth Lugo.

Benefits Update

Payroll - Direct Deposit/Cash Pay
The Human Resource Department has analyzed the current procedure of processing payroll checks and has identified the benefits of Direct Deposit. We also recognize that some current and new employees do not have a checking or savings account with a bank and this may place an undo financial burden.  Therefore, we are considering an alternative plan called a CashPay Plan offered by Nations Bank.  Under the CashPay Plan, faculty, staff and students can access their money through ATMs.  They can make cash withdrawals, balance inquiries and make purchases at stores displaying the Honor/Interlink symbol at Point of Sales terminals.  With CashPay, the employee can withdraw up to $800 at one time.  After the first withdrawal, subsequent withdrawals carry a fee of $1.50 per transaction, charged against the employee's CashPay account, This fee is significantly less than what banks or check cashing establishments charge to cash payroll checks.  The Payroll Office will send out notices to campus boxes with earnings and deductions information.  The HR Website currently being developed will also allow employees to view payroll information.

Long-Term Care Insurance
The issue of Long Term Care is an increasing issue facing many employees today.   The main benefit of this insurance coverage is to assist in the cost of nursing home care.  The HR Department has compared two company plans, CNA and TIAA.   In reviewing these two companies, it is possible this benefit could be offered in February 2000.

Health Insurance
Due to the high cost of medical care and the amount of claims processed for this past year, the College has received a notice of an increase in the cost of Health Insurance.   The issue of health care is a very complicated and complex issue to cover.  The HR Department is currently collecting data from other schools and other carriers to compare coverage and cost.  There are various coverage options that would reduce our rates significantly: by adding higher co-pays, by decreasing our co-insurance from 100-70 to 90-70 and increasing the prescription co-pay we can begin to see a significant reduction.  More information will be presented in the near future regarding this benefit.

Open Enrollment
The open enrollment for calendar year 2000 will be November 15, thru December 3, 1999.  A packet of information will be sent to each faculty and staff before these dates to review all benefit options.  A vendor representative session is being planned during open enrollment.  More information will be coming soon.

January, 2000 BIWeekly Payroll
The first payroll of 2000 will be processed early, just in case of problems due to the new millenium.  A notice requesting early timesheets will be sent out in December.

Benefits – Open enrollment for employee benefits will be from November 11 to December 8.  Packets will be in campus mail on Friday.

Payroll – process time cards are due early because of Thanksgiving holiday.

Websites –
Access to benefits from campus website.  Employees will be able to change personal information, check benefits and submit time cards.

Long Term Care –
CNA will provide long term care benefits for employees and their dependents.  Sign up and information will be held in January 2000 with anticipated start date of February 2000.  This benefit will not be available as a before tax benefit.

Health Insurance Summary –
Copay up from $10 to $15 for office visit. Prescriptions from $5/$15 to $10/$20.  No deductible for hospitalization.

Cash Payroll –
Beginning in February or March 2000, new employees who do not opt for direct deposit will be paid by ATM account.  This process will deposit payroll into an ATM account instead of issuing a check each payday.

New Employees –
Are now listed on Rollins intranet. Use Pipeline to see who’s new at Rollins.

Phone Directory –
There was discussion regarding whether the college should continue to publish home addresses and phone numbers in the campus directory.  It was agreed yes, as long as the option to not include home directory information remained available upon request.

Fairbanks Survey –
On November 16, city will be surveying the pedestrians crossing Fairbanks Avenue.

Parking –
Need for more short term parking on campus. There are plans to create two (2) additional parking spaces in front of Warren. It was noted that the Winter Park Police are patrolling campus more frequently.

Diversity Task Force –
Concerned about the environment for minority students, the Board of Trustees created this task force to review and improve the environment for minority students on campus. Task force plans to be an active organization that will educate and train the Rollins Community on diversity issues.

AIM – All Ideas Matter
There are not many nominations. Perhaps increased marketing would encourage new ideas.

Helen Crossley Award –
Nominations to be considered Jan/Feb and awarded at the May picnic.

Performance Reviews –
Will be disbursed in January and due back by March 30.  Raises based on merit system and will be given in June.

Development –
Discussion regarding Rollins development and the difficulty to market and solicit funds for faculty/staff benefits.

Announcements:

- Staff Mixer to be held December 8 in the Galloway Room from 2-5pm.
- Christmas Turkey gift certificates will once again be distributed in December.
- Business Services Open House will be held on December 17 from 2 to 4pm.
- Post Office now has Breast Cancer stamps on sale.
- Crummer Dedication will be held December 15.
- Jackie Ghirla received the You Make The Difference award.

Timesheets:
– For the next two pay periods, the timesheet are due early.  Email to go out indicating deadlines. Workstudy payroll available on Monday.

Pipeline:
-  Employee benefits have been removed from the web view.  It was noted that benefits were available on Pipeline, however the information was not correct.  Target date for completion is Feb/March.  This will also include training.

Fairbanks Survey:
- this time the numbers tripled. City of Winter Park to do additional study. It was noted that police have ticketed individuals who do not stop for pedestrians in walkway.

AIM:
- Committee works on volunteer basis only.  There were four suggestions from Fall semester. Tina Dow volunteered to fill vacant position.

Helen Crossley Award:
- Need to form a committee to review nominations.  Committee should be selected by end of January early February.  Maria to send nomination guidelines to SAC members for review.

Staff Mixer:
- Big success.  More people than in previous few years.

Payroll:
- Clarified question regarding why employees do not get overtime pay when a workweek includes holiday pay.  Wages are based on number of actual hours worked.  Holiday pay is a benefit that cannot be included as hours worked.

Announcements: The Art Department is showing student art until Tuesday, December 14.

Long Term Care Program - The College will implement a Long Term Care program for its employees and their families. Meetings to discuss program are scheduled for February 8 and 10, from 12:30 to 1:30 and 1:30 to 2:30.  CNN representatives will be available.  Information will be sent to employees prior to February 8.

Performance Appraisals - Will go out in campus mail shortly.  They are due in Human Resources by March 31, 2000.

Helen Crossley Award - A committee was formed to create the nomination form.  Members are Carin, Udeth, Laura and Maria.  SAC members should email Laura with questions to be considered.  Also considered will be marketing plan with clear instructions for nominating individuals.

Review committee of five employees and one alternate will be selected by the President's office.  This determination will be based on a list of 20 exempt and non-exempt employees provided by the Staff Advisory Committee.

Health Insurance - The decision was made to provide employees whose salaries are up to and including $35,000 and are eligible for the Health Insurance Benefit with a one-time stipend to defer some health insurance costs. The amount of the stipend will be added to the employee's base salary in June 2000 before merit is provided.

Education Benefits - The question was asked about the possibility of creating a support group for those employees who have children attending or applying to Rollins. After discussion, it was determined that there were specific issues and that a support group may not be the answer.  Anyone with questions about their education benefits should contact Human Resources.

Employee Notice of Termination - Rollins is in the process of redefining their separation policy. It is recommended that employees who submit notice of termination will not have their final paychecks directly deposited to their banks.  The employee and their supervisor will have to complete a form stating that all Rollins equipment has been returned.  The form will then be forwarded to Human Resources after which the employee will receive their final paycheck.

February 10, 2000

Approved January minutes.

Helen Crossley Award – Reviewed the nomination forms.  Suggested changes to the form were taken into consideration.  Will send out notices to possible review committee members with in the next couple of weeks.  President Bornstein will pick the members of the review committee.  HR will oversee procedures.

Voting forms will be sent out first week of  March and are to be back by the first of April.  Award will be given out at picnic around May 26, 2000.  Will ask top three people to attend.

Performance Appraisals – Due by the end of March 31, 2000.

Budgets – Persons earning under $35,000 will receive $280 for health benefits.  This will be added to their base pay rate before merit is awarded.  Will do a market analysis of pay, based on the Orlando Market, for selective groups (Clerical and Custodial).  If budget is approved, staff in these categories will receive a market adjustment after merit has been calculated.  In addition, a formula is being developed to provide additional funds for long service employees.

New Business – Suggested that we give a regular gift certificate, not a turkey one for holidays.  When figured out, each person would only get a gift certificate for $8.  Will stay with turkeys.

Questions were asked about the recycling program on campus.  There is a program and the students that work in that program are working at making it more noticeable on the campus.  It was recommended that the program needs to be advertised so that the Rollins community know about it.

Helen Crossley Award – Selection committee named and will meet April 19 to discuss 20 nominations.  Committee includes Carol Harris, Coleen Palmer, Steve Gauthier, Connie Holt, and Susan Curran.

It was suggested that the selection committee discuss any problems/difficulty with the nomination form or process.

Picnic: - End of year picnic set for May 26 in the Campus Center.

Performance Reviews - some are past due.

SST – Good turn out.  Very informative.

ESOL - Completed first and there is a picture on the web.

Tuition seminar: - Set for April 18th.  This seminar is designed to educate employees about college admissions, tuition benefits, financial aid and staff eligibility.  Rescheduled due to Fox day

Campus Directory: -  Telecommunications and Human Resources will work closely to modify procedure to eliminate unnecessary steps.  HR will handle department changes and address double entries.  First proof should be available by June 1st and finalized by Oct 16.

Bank of America Seminar - Set for May 9 in Bush Auditorium.  Seminar will walk employees through the process of buying a home

CPR Class - Not yet determined.

SAC Nominations – Need to fill three spaces on committee.  Goodbye to Gloria and Carin.  Ballots to go out this week.  End of year luncheon set for June 8, in Galloway.

Picnic: - End of year picnic set for May 26 in the Campus Center.

ESOL - 15 employees completed first tier of classes.  Classes to continue over the summer.

Salary Letters - to go out next week.  Will include market adjustment for eligible employees. Based on years of service 3-5 years 1.5%, 6-10 years 3%, 11 years and up 5%.

Dress Code - Discussion regarding adoption of campus dress code policy.  Reviewed draft and discussed exactly what should be included.

Helen Crossley Award - Committee selected from 20 nominations.  Award to be given at staff picnic.

Mortgage Seminar - was successful.  Positive feedback from attendees. Discussed offering another seminar in the Fall.

College Info seminar - Well organized.  Discussed offering seminar again in February for new employees.

TIAA-CREF Seminar - on estate planning. Sponsored by Development.

Next meeting –Thursday, June 8, 2000.  Galloway Room - Welcome new members.

October 12, 2000

Benefits Update from Maria:
-Open Enrollment will be in November.  This year employees will have the option to sign up on-line.  Training sessions will be    announced. HR will also send individual packets as needed.
- Dental Plan - looking into additional plan to include orthodontic.
- Health Insurance - experience was high this year.  We are looking at a substantial increase for next year.
- Vision plan – provided on a volunteer basis only, it will be $6.50 per person per month. Includes a free pair of glasses or $105 toward contact lenses.

Supplemental pay: Dr. Bornstein will send a memo announcing the decision to grant a one-time compensation supplement to be disbursed in January 2001.  This will be followed by a memo from HR outlining eligibility and prorated schedule for those employed less than one year.

Round Table: Six people attended the Round Table discussing hiring procedure for temporary employees.  There was discussion to make these meetings mandatory.  Correct procedures are not being followed and are creating additional follow-up work.

Kronos - an electronic time keeping system, has been purchased and will be implemented in the Facilities Management and Campus Safety departments.  Training will be provided to these two departments.

Staff Mixer - Set for December 7 from 2:00pm to 4:00pm in the Galloway Room.

November 9, 2000

INSURANCE UPDATE:
 Open Enrollment will be November 20 through December 8, 2000
 Rollins will be going with a company by the name of Great-West Life & Annuity Insurance Company
        - 1999 – Rollins was self-insured – bad lost ratio – insurance company wants to Increase by 58%.
        - 2001 – switching to new company – increase much lower – package much like what we now have.
                      Visits will be $10 HMO and $15 PPO.
        - 20 retirees will be without insurance come December 31, 2000 since Prudential dropped Senior Care.
        - New policy will cover domestic partners.
        - 70-75% of doctors that are on our insurance now will be on the new insurance.
        - Enrollment will be on line.

Vision will be offered at $6.90 per month.  With this insurance, you pay first and get reimbursed by the insurance.  It will cover one pair of glasses and exam per year.

 Dental Insurance will be slightly cheaper next year.

NEW BUSINESS:

Cancer Awareness – a demo will be held on December 10, and 11, sponsored by Facilities.  January 25, Facilities will     sponsor a Cancer Awareness demo.

Terminations – the question came up about terminations and how can a department find out whom has been terminated.  It was suggested that maybe a notice could be put on e-town about employees that have changed departments but it would not be a good idea to put terminations out for all to see.

Sports Complex will open with its first televised game on December 6, 2000.

Staff Mixer will be on December 7 from 2 – 4 in the Galloway Room.

Question was asked: Do we still want to do the turkey certificates next year or put the money toward a Christmas party?  We are to ask around what the majority thinks.

December 14, 2000

ATTENDED:  Ann Francis, Colleen Gray, Ron Dennis, Karen Hater, Cindy Griffin, Mary Dunn, Laura Pfister, Maria Martinez, Udeth Lugo, Martina Dow and Barbara Howell

OLD BUSINESS:
Staff mixer was a great success.  Booked event for 200 - 300 attended.  Maria thinks more showed because of the change.  Mixer cost $2000.

NEW BUSINESS:
Turkeys cost $5752.  We discussed combining the turkeys and mixer and having a buffet or large Christmas type party.  Suggestions were made and Maria will take them into consideration.

We discussed starting the Make-A-Wish campaign earlier and also ways to donate turkey money to Make-A-Wish.

Open enrollment went well – 150 people signed up on line (23%) – should double next year.  Certifications are mailed to ones that signed up on line.

HR moving next week for remodeling – Maria can be found at home if she is needed for any reason.  Maria says that she is 90% sure that HR will be moving to the Rinker building when it is finished (02).  HR will be back on Jan. 3.

Payroll for 4 weeks due on Friday, Dec. 15.  PTO for exempt that must make an emergence change of plans and time is already turned in can report it in the Jan. report.

 Path forms due Thursday, Dec. 14.

 Comp. Supplement – Jan 19 for non-exempt and exempt end of month.

 Martin Luther King – Jan. 15, Holiday

 Christmas will be Monday and Tuesday next year.

CPR training offered free from Lakeside.  Suggestion was made to talk to Brad and make it mandatory for at least 2 people in each department.

Cancer demo went well in facilities.

Maria has funding for training programs and received suggestions for the following topics:
        -    Dealing with conflict
        -    Customer service skills
        -    Spanish classes (trying to find someone to teach this)
        -    Financial planning
        -    Money management
        -    Time management

HR is sending out a survey about benefits in general.

Suggestion was made to do a survey about training programs and send it to supervisors to see if they will  support these programs by encouraging employees to attend.

January – Performance reports will be out.
