Where can I learn more information on GroupWise and everything it can do?

Please join us for a 90 minute hands-on session covering the basic functions of GroupWise.  Topics will include sending and receiving mail, adding signatures, rules (out of office notices), folders, creating e-mail templates, automatic name completion, GroupWise notify, working with address books, and adding events to the GroupWise calendar.  It is recommended that you transfer to GroupWise before attending this session. What are the different modes in Groupwise and which one should I be in?

There are three different modes in Groupwise

  • Online mode - this mode only stores your data on the server. The main disadvantage of this mode is that if you lose your connection to the server you will be unable to access any of your data using the client.
  • Caching mode - this mode stores your data on the server and your hard drive. When you click the Send/Receive button or it updates yourself periodically (default is every 10 minutes), any changes you have made in the client are synced with the server. The advantage of this mode is that if you lose your connection to the server you can still see and make changes to your email in the client, which can later be synced with the server once your re-establish your connection. This is the prefferable mode for most users.
  • Remote mode - basically the same thing as caching mode, but this mode does not try to connect to the server automatically every ten minutes. This mode would be used when you know you will not be connected to the internet (i.e. traveling) so that it does not continue to unsuccessfully try to connect to the server.

How do I switch to Caching mode?

Click on File -> Mode and then select Caching. It may prompt you to select a Caching folder location. After that, it may prompt to create it if the folder doesn't already exist. It may then ask you to type your online password in. It may then ask if you'd like to use the same password for Caching mode. It may begin downloading a copy of your mail onto your machine. It will then prompt you to restart GroupWise. After doing so, you'll be in Caching mode.

Why am I still receiving Spam Quarantine e-mails?

While GroupWise does have a junk mail system in place, it does not replace the Quarantine System that Rollins College has in place. It is an added layer of protection.

Why do some people show up twice in my proxy views?

If people show up twice in your proxy views please log into the web based version of GroupWise at http://gwweb.rollins.edu and delete the second instance of the person. Then when you return to the Client Version of GroupWise the duplicate will be gone. If you continue to have problems, please call the Help Desk at ext.6363 for further assistance.

Tips and Tricks

How do I enable/disable the automatic spellcheck?

Tools>Options>Environment>General tab. Check or uncheck "Check spelling before send."

How can I organize my folder list?

Edit>Folders... Then, use the "Move Up" or "Move Down" buttons to change the order of your folders.

Where is the best place for me to put the folders that I use to organize my email?

Unlike Netscape or Outlook, Groupwise has a "Cabinet" for storing those folders and emails that you would like to keep. Although you do not have to use the Cabinet to store your emails, this is the suggested area for doing this.

How do I set up an auto-response when I am away from work?

Tools>Rules>New.

Create a name for the rule. Under the "When event is" section, select "New Item" and "Received".

Under the "If conditions are" section, select "Mail" and if appropriate set other conditions under the "Define Conditions" button.

Once the conditions are defined, select "Add Action" and click "reply". Chose "reply to sender" and hit ok.

Type in your away message response and click ok.

Click "Save" at the bottom of the screen.

As long as the rule is checkmarked in the rule box, the rule is working and you will automatically reply with your away message to any e-mail you receive.

How can I automatically sort mail into folders as it comes in?

Tools>Rules>New.

Create a name for the rule. Under the "When event is" section, select "New Item" and "Received".

Under the "If conditions are" section, select "Mail" and under the "Define Conditions" button set up how you would like to distinguish the mail, either based on the to, from, subject, author, etc. field.

Once the conditions are defined, select "Add Action" and click "Move to Folder ".

Select which folder you would like to store the mail in.

Click the "ok" button. Click "Save" at the bottom of the screen.

As long as the rule is checkmarked in the rule box, the rule is working and you will automatically sort your mail to the appropriate folder.

How can I have GroupWise notify me of new e-mail?

Tools>Options>Environment>General. Select "launch Notify at startup". Restart machine. GroupWise notify will pop-up a window and play a sound to alert you to new messages.

To turn off the GroupWise, simply follow the above steps and de-select the "Launch Notify at startup" option.

How do I create an e-mail template?

For plain text no color

To create the e-mail template click on create a new e-mail and compose the template as you wish it to appear. Once complete, click on file in the toolbar and select save view. In the save window navigate to your H:/ drive and a folder named gwviews (if the folder does not appear create it) and save the e-mail in this folder. A window will appear asking you to name the view, enter a name you would like to designate the template. Once the template is saved you can click on the small drop down arrow on the new mail button on the toolbar. You will see your template's name and can select it to automatically open the template.

For HTML and color

Use an html editor such as Frontpage or Dreamweaver to compose the body of your e-mail template. When done, save this html page to your H:/ drive inside a folder named gwviews (if this folder does not appear create it). Once the file is saved you can go into GroupWise and create a new e-mail message and then press the F11 key. The F11 key allows you to retrieve a file, navigate to your H:/ drive and the folder gwviews and then select your html e-mail template.

What is the web client's url?

The url to access the GroupWise web client is: http://gwweb.rollins.edu.

How come I receive a certificate warning when I try to visit GWWeb?

Depending on your browser's security settings, you may receive a warning about the certificate of the website. For Netscape and Firefox users, you can tell your browser to always allow the certificate. For Internet Explorer users, you simply have to select "yes" when the warning comes up. You will then be able to use the GroupWise Web client.

If I set up a rule or change a setting in the web client, will have I have to redo this on my desktop client?

The simple answer is no. The way the GroupWise server is set up allows users to manipulate one of the clients without having to do anything on the other. Both clients work on the same server, and take "snapshots" of what the server currently looks like. When one of the clients updates the server, it will be reflected in the other client.

When I try to use web access I get an error that my login is not current and I need to relogin, what do I do?

As a temporary solution, add the numeral 1 or 2 to the url address so that it reads: http://gwweb1.rollins.edu. You will be prompted to accept a certificate.

Error Messages

When I close Groupwise, I get a pop-up message saying, "You have unsent settings changes, do you want to exit anyway?" What should I do?

This means that your client has not yet updated the server with your most recent changes. If you receive this message click No, click Send/Receive to update the server, and then exit out of Groupwise.

When I log into Groupwise, a dialog box opens stating, "The password is not correct. Type the correct password. Your administrator has turned on LDAP authentication, try using your directory (network) services password." What should I do?

This error can occur for a few reasons.

The first possibility is that you incorrectly typed in your novell network password for groupwise. Simply retype your novell password into the box.

Another possibility is that you have recently changed your novell network password and are trying to log into caching mode. Your caching folder has stored your previous novell network password. In this case, log into groupwise using your previous novell network password. Groupwise will then prompt you to change your caching mode password to match your online mode password. The next time you log into Groupwise, you will then just use your new novell network password.

If these suggestions don't work, there is one more thing to try. Navigate to C:\novell\GroupWise. Make sure GroupWise is not running on your machine. Delete the folder named "gwstrhc9". Launch GroupWise. Type in your novell network password when prompted. Several prompts will follow saying that your caching folder needs to be created. Say yes to each of the prompts. GroupWise will then re-download all your messages, just as it did the first time GroupWise was launched.

When I try to open my Direct Deposit AdviceI get a message: "Protected - View has encountered a password protected/encrypted file." What should I do?

This message occurs because the Direct Deposit Advice PDF file is password protected and cannot be opened by View. To correct this go to tools in the menu bar and then select options. When the options window appears double-click on environment. When the environment window appears select the default actions tab. Where it says file attachments choose the check box for open attachment. The next time you try to open your Direct Deposit Advice it will open the attachment with Acrobat Reader and you will need to enter you password to open.
