College Cell Phone/Smart phone Policy
Employees who need phones will be given a monthly reimbursement for their phone use based on whether they have a regular or smart phone, included in their paycheck.
Monthly regular cell phone: $52/month reimbursement- includes $2 per month for phone replacement
Occasional cell phone user: $20/month
Monthly smart phone: $97/month reimbursement- includes $7 per month for phone replacement
(Smart phone users should check with the I.T. Help Desk before purchasing a new phone. We will support email and calendar syncing for a limited number of phone models).
Phone fees are set to reasonably recognize that part of the phone cost is for personal use. It also includes a small increment since this reimbursement amount would be taxed. Many phone plans include regular phones for free. New and Replacement phones will be covered by the employee who may choose to insure them or not.
Some departments have multiple staff sharing a single device for on-call rotations, etc. A number of shared or group devices will remain available via College contracts and we will work with those departments individually. Minimal personal calls or contacts are to be made to/from these devices.
Cellular phones available for short-term loan
Information Technology will have a limited number of cellular phones available for loan to College employees who have a periodic need for short term or temporary use of mobile service while conducting college business. Availability will be on a first come, first serve basis, and can be requested by completing an I.T. Request for Services form on the I.T. web site.
New employees
Given the large number of phones, we should be at a fairly steady-state in terms of phones. Aside from new positions, if an employee with a phone leaves, the new employee can request phone service reimbursement, if it’s needed. Requests will be made by an IT Request for Services form and should include the justification and phone type requested. The request will either be approved or we may ask for additional information. Once approved, we would start the automatic reimbursement rate listed above in the next possible payroll cycle this can be added. Please include the person’s R-number in the request.
Requests for new phone service should include a justification including one or more of the following reasons:
- Employee travels frequently as part of their job and needs to be in constant touch with the office
- Employee is often away from her/his desk and needs to be in constant touch with the office
- Employee performs on-call and/or after-hours work that requires them to be reachable
- Employee occasionally needs use of a cell phone
- For smart phones, one of the above reasons PLUS employee must check e-mail constantly when away from her/his office
Departing employees
There will be no need to do anything your reimbursement will stop with your final paycheck.
