Top Nine Information Technology Policies You Should Know

 

  • E-mail responsibilities: More and more communications between faculty, staff and students are being done electronically. All members of the Rollins community are responsible for regularly checking their e-mail (as they do paper mail). E-mail forwarding is no longer allowed.

 

  • Passwords: All members of the Rollins community are assigned passwords for various systems and networks on campus. These passwords provide security against unauthorized use of these systems and it is against Rollins Policy to share passwords. Members of the Rollins community are responsible for keeping track and periodically changing passwords for security purposes. Computer users are also responsible for understanding which IDs and passwords provide access to which systems. Forgotten passwords cannot be looked up, they must be changed. To have a password changed for you, connect to: http://foxlink.rollins.edu/ and select the appropriate password you've forgotten. 

 

  • MP3s and *.exe files: MP3s, *.exe (program files) and other copyrighted material are not allowed to be stored or e-mailed on the Rollins College Servers, without prior authorization from the Information Technology Department. This includes any MP3s which are masked as .wav files or any files that are temporarily stored in zip format. Any unauthorized files that are found in shared areas on the Rollins College Servers (this includes, but is not limited to, the Rollins Webserver, the Novell Servers, and the e-mail server) will be deleted. 

 

  • Rollins Webserver: The Rollins Webserver (http://www.rollins.edu, also known as "tars") is reserved for departmental and organizational web pages. Personal use of the Rollins Webserver is prohibited. Class pages and student web pages are to be stored on the H: drive under the "www" folder. These pages can be accessed via http://web.rollins.edu/~USERNAME. It is imperative that all web pages that are no longer being used or are out of date are removed from the Rollins Webserver. The Webmaster will periodically remove files that are not linked to Rollins web pages. 

 

  • Rollins E-mail Server: Users agree not to use the Rollins site for sale, trade or other commercial purposes. Communications should be courteous; all campus policies that apply to written communications also apply to e-mail. Chain letters and copyrighted materials such as MP3s are prohibited. By using Rollins College e-mail, you are agreeing to the e-mail usage policies found at http://www.rollins.edu/it/policies/email_policies.shtml.

 

  • Electronic communications: All electronic communications are governed by the same policies, Rollins' as well as local and national laws, as paper communications.

 

  • R: Drive: The R: drive is used as a universally accessible area for storing/sharing files. The R: drive is public, i.e., accessible by all students, faculty, and staff on the campus network. As such, it provides no confidentiality and no protection from unintended file deletion, etc. To manage space and remove dormant files, the R: drive is purged of all files at the end of each semester ( The R: drive will be purged as needed throughout the semester and one month after final exams have concluded).   • Student login: The Student login name will no longer be permitted on computers outside of the labs. Students must use their own login name to login to the Novell network. If you forgot your password (your ID is the same as your e-mail address), go to http://foxlink.rollins.edu/ and select "I forgot my Novell password". 

 

  • H: Drive: When you log in to Novell with your own ID, you get an H: drive for personal, private storage. Since you can access this anywhere on campus, it is an ideal location to store important information needed throughout the semester.
