The Office of Public Relations (OPR) has compiled the following information in response to requests received by the office. We hope it is helpful. Input and suggestions for additional topics may be submitted to Assistant Vice President of Public Relations Ann Marie Varga at avarga@rollins.edu.
Admissions (Student GPAs)
According to the College of Arts & Sciences Office of Admission, we don’t have a minimum GPA requirement. Beginning with the entering class in fall 2008, SAT and ACT scores will be optional for admission consideration. Based on last year’s applicant pool, here are the mid ranges: 3.2 GPA; 1120 to 1280 SAT; 24 to 28 ACT. Advertising
The OPR has a minimal advertising budget for the College of Arts & Sciences. These funds are reserved primarily for local and state advertising. We consult with the Office of Admission on new requests, but do not rely on advertising to reach students in our primary target markets of Florida and the New England states.
The Crummer Graduate School of Business (MBA and Management Executive Education) and Hamilton Holt School Evening Undergraduate and Graduate Programs manage their own advertising budgets. Athletics

Interested Rollins athletic fans may have the weekly Athletic Department press release sent free of charge directly to their e-mail account. To receive the weekly release, e-mail Nate Weyant in the Rollins College Sports Information Office with your e-mail address. The release is normally sent before 3 p.m. every Monday. Book Promotions
Faculty or staff who publish books may send the information electronically to the OPR. The information will be included in R-Town and, if appropriate, the Rollins Alumni Record alumni magazine. If appropriate to a current topic in the news, the OPR will issue a media advisory offering the author as a topic resource and cite the book. The OPR maintains a detailed Book Promotion Guide, which can be shared with interested faculty and colleagues. Contact Jeni Hatter at jhatter@rollins.edu or at 407-646-1510.
Brief Job Outlines
The Office of Public Relations operates like a “mini-agency,” with members of the team specializing in specific office functions. Staff members counsel various departments and assist them with their communications needs. This breakdown is provided as a quick reference:
- Assistant Vice President (Ann Marie Varga) – Oversees all proactive and reactive public relations programs, publicity outreach and strategic communication efforts for the College. Oversees all projects and programs of the OPR team. Monitors and manages issues and crisis communication efforts. Offers public relations advice, guidance and assistance to a variety of campus clients. Managing editor of R-Town and Web content. Contact Ann Marie at avarga@rollins.edu or 407-646-2159.
- Director of News & Media Relations (Jeni Hatter) – Manages media outreach efforts with local, state and national media (and Profnet leads). Regularly identifies, researches and writes news stories as needed for media, electronic and print purposes. Develops, implements and manages proactive public relations and publicity plans. Manages media requests for topic experts. Assists with issues and crisis communication efforts. Manages print publications and assists as needed with content for electronic publications. - Electronic Communications Coordinator – Serves as editor of the Rollins College home page and R-Town (the College’s weekly electronic newsletter). Manages electronic communications efforts and assists clients across campus. Maintains and implements various Web initiatives. Regularly identifies, researches and writes news stories as needed for electronic, print and media purposes.
- Communications Specialist (Stephanie Duesing) – Manages and maintains the Rollins News Center and Public Relations Web pages. Assists with Web initiatives, media requests for topic experts and proactive publicity efforts. Regularly identifies, researches and writes news stories as needed for electronic, magazine and media purposes. Assists with the production of print publications as needed. Campus Tours for Prospective Students/Families
Campus tours are given Mondays through Fridays at 10 a.m. and 2 p.m. to prospective students and their families through the Office of Admission. Students provide the tours and they are followed by a short question-answer session with an admission counselor. Reservations are requested. Clipping Service
We do not offer a clipping service, either for television or print, to other departments.

Clipping Service Suggestion (television)
If someone would like to order a television clip, we recommend In-Focus Media, who offers us a non-profit rate of $35 for the initial clip and $10 per additional copy. Clipping Service Suggestions (print)
The clipping service used by the OPR in the past, and shared by several departments at Rollins, was CompetitivEdge (1-888-881-EDGE). This service cost about $300 a month and is no longer used by the college. Another good search method is Google.com (choose “News” above initial search bar, which will isolate the searches to news sources only). Altavista.com is also another search engine the OPR uses.
The Olin Library has set up a service called EZproxy which allows off-campus users to connect to online journal indexes and full text article collections with the full privileges they have while on campus. Windows, Macintosh, and other users who follow a database link from the library database page (http://www.rollins.edu/olin/databases) or subject guide pages (http://www.rollins.edu/olin/subjects) can connect to our subscription databases simply by logging in with the Novell network username and password already established for all current students, faculty and staff.
Community Involvement
Requests for community involvement for students should be referred to Micki Meyer, director of community engagement, at 407-691-1754, for consideration or referral to the appropriate campus student organization.
The Girl Scouts are one of the philanthropies of Kappa Delta. The president of the sorority for 2006-07 is Amanda Evans aevans@rollins.edu.
Donations
Rollins College receives many requests for donations. Rollins College, our Hamilton Holt School evening studies division, and our Crummer Graduate School of Business are independently supported by tuition, income from investments, and contributions from alumni, friends, foundations, and corporations. Rollins’ own fund-raising efforts are critical to providing scholarships, high-quality academic programs, and up-to-date facilities and research resources. As a not-for-profit organization, we regret that we are extremely limited in our ability to support other organizations.

Funeral or Memorial Service Announcements
Requests for issuing announcements regarding funeral or memorial services for former employees will be forwarded to Dawn Peterson in Human Resources at dpeterson@rollins.edu for review. If timing allows, the notice will be included in R-Town, or the OPR will issue a campus-wide e-mail if necessary.

Home Page Content
Content on the Rollins home page is overseen by the OPR. Information under “Latest News” is primarily reserved for recent publicity that promotes the College’s mission. We do not promote campus events unless the event: is of College-wide significance or provides significant public relations value (e.g., Winter With the Writers series, a visiting artist, NCAA championship or other major sporting event); is of major interest to the general public (e.g., a concert or an appearance by a well-known dignitary), affects a significant portion of a Rollins constituent group (e.g., Family Weekend or Alumni Weekend), or raises money for scholarships.
For events that meet one of these requirements, we will provide a headline with a link to your information for a maximum of 30 consecutive days. Please note that you must submit the link and provide the Web page. OPR reserves the right to remove the headline if needed. Knowles Memorial Chapel
All inquiries regarding weddings on campus should be referred to Pat Powers or Joanne Granberry at 407-646-2115. Please note only Rollins faculty, staff, students and alumni are allowed to get married in the Chapel.
Location Filming/Photography on Campus
Rollins College is an open campus. Amateur exterior filming and photography are allowed. If facility interior shots or classroom shots are required, the professor would have to agree. Public Relations deals directly with media requests. All other requests for commercial filming/photography of any type on location should be referred to Katie Perrine, assistant director of special programs/special events at 407-647-1315 or kperrine@rollins.edu for consideration and pricing information if the request is approved. For any video production on our campus, scripts may be required in advance for review and approval. All groups must also provide liability insurance.
Media Inquiries
Media who are looking for subject experts should be referred to Director of News & Media Relations Jeni Hatter at 407-646-1510. Other media inquiries should be referred to Assistant Vice President Ann Marie Varga at 407-646-2159. Based on vacations and/or workload, media inquiries may be handled by other members of the team. Individual’s voice mail messages will provide media with direction in the event of vacations, etc.
For emergencies, crisis or after-hours calls, the media should be referred to Ann Marie Varga at 407-399-3255. If a crime has occurred on campus, media inquiries should be referred to the City of Winter Park Police Department at 407-644-1313.
Faculty and staff may serve as media resources in their areas of expertise. However, the senior administrators (president and vice presidents), the assistant vice president of public relations and the director of news & media relations are the only College spokespersons who may address administrative issues. These questions should be referred to the assistant vice president (or director of news & media relations in her absence) for review and response.
Merchandise & Licensed Goods
Any inquiries from outside vendors for Rollins College logo merchandise should be forwarded to Peggy Bedford, manager of the Rollins College Rice Family Bookstore, at 407-646-6303. Inquiries will be submitted for review and consideration by Follett Stores.
Name Badges
Institutional Advancement secured artwork for new name badges for the division. Any department on campus may use this design. Contact Christine Cottrell at United Trophy at 407-841-2525. When ordering please send an e-mail to ChristineC@unitedtrophy.com with the name and title for the badge and reference the badge designed by Mary Wismar-Davis from Rollins’ Office of Donor & External Relations. If you prefer, you may fax your order to 407-423-5512.
The badge size is 1 ½” x 3” (gold/black name badge with magnet) with Rollins College logo. Badges are $5 each (prices may change) and production takes three business days. Pick up required.
News Release Requests
The OPR will create a news release to promote campus events or unique items which may be of interest to the community. Please contact the OPR at least three weeks in advance to allow sufficient research, production and approval time.
Please provide an electronic draft of your press release copy to the designated member of the OPR team. We will proof and edit the copy and send it back to you in 3-5 business days for you to approve or seek necessary approvals. In 3-5 business days of receipt of the final approved copy, the OPR will electronically distribute the release to appropriate members of the media. If you would like the release to be sent to anyone not in our database, please provide names and e-mail addresses to our office electronically. Orlando Sentinel Reprints
Requests for permission to reprint articles need to be submitted online at orlandosentinel.com. Go to “Back Issues” or “Buy Photos.”
Photography & Videography
The OPR does not have a professional photographer on staff. We may retain a professional photographer if a campus event may be of interest to the campus or local community and we will photograph the event with our digital camera if staff availability allows. We will try to accommodate photo requests, or you may retain one of the professional photographers we use. We are unable to loan out our digital camera to other departments.

The OPR maintains an extensive electronic library of stock campus photography. We will try to provide digital images if available. Faculty and staff who had their photograph taken through the OPR may receive an electronic copy via e-mail by contacting any member of the public relations team at 407-646-2202. Due to budget constraints, the OPR does not stock hard copies of photos, but we can e-mail your photo to you so that you may take it to a photo lab and have it printed at your own expense. We recommend Harmon Photo, which is located on Orange Avenue near Lake Ivanhoe. Their number is 407-898-2321.

Printed Materials Requests
For printed material requests, contact Director of Publications Mary Wismar-Davis at 407-646-2262, or the publishing center at 407-646-2332. The Office of Public Relations will work with you on the content of printed materials to meet your external needs for promotion of campus events that are of interest to the College community. Because of limited budgets and resources or department materials that are beyond our scope of responsibilities, projects will not be paid for by the OPR. Please contact our office at least three weeks in advance to allow sufficient approval time for copy.
Promoting Items on Campus
Any student advertising (such as promoting rooms for rent, products and services or promotional items) should be submitted for review and approval to Jane Wurzelbacher in Student Involvement & Leadership. She may be reached via e-mail at jwurzelbacher@rollins.edu or by phone at 407-646-2624.
There is no soliciting allowed on campus. Any special offers for faculty and staff need to be referred to Christy Gomez in Human Resources at 407-646-6493. You may also e-mail details of the offer to rtown@rollins.edu for publication in R-Town, an e-newsletter distributed to faculty and staff.
R-Town
Story submissions or inquiries about R-Town should be referred to the R-Town Editor at rtown@rollins.edu. The content deadline for the online newsletter is Wednesdays by noon. Stories submitted by that time will appear in the following week's edition. R-Town is distributed weekly(with exceptions during holidays and over the summer).

Scenic Boat Tours
The Scenic Boat Tour is an 18 passenger pontoon boat ride on the pristine Winter Park chain of Lakes. Tours are available for individuals and groups. Located at 312 East Morse Boulevard. Private Tour Groups are also welcome. Operating hours and rates are as follows:

Inquiries requesting use of campus facilities by outside organizations need to be referred to Katie Perrine, assistant director of special programs/special events, at 407-647-1315 or kperrine@rollins.edu for consideration and pricing information if the request is approved.
Student Events
Due to budget constraints, the OPR does not produce promotional fliers for student events. Fliers or posters promoting any campus activity must be submitted to the Office of Student Involvement & Leadership at 407-646-2624 for approval prior to campus distribution or posting. Students need to work with the department directly and should work with the Publishing Center at 407-646-2332 on the design and printing of the fliers. There would, however, be a charge for this.
Student organizations typically have a budget and cover these expenses; however, academic departments may be able to underwrite these expenses upon request. Information may be submitted to the OPR for review to determine potential publicity opportunities, which would be handled by the OPR.
Summer Camps
Rollins offers great summer camps for kids in three different age groups with 30 different classes to choose from. For more information, call the Summer Camp office at 407-646-2604 or visit the Web site at http://www.rollins.edu/camp/.
A variety of athletic camps are offered by Rollins’ coaches. Information is available at:

Swimming Pool Use and Rental
The swimming pool may be rented for parties and events (there are fees for the required lifeguards and pool usage). The contact is Amber-Leigh Vankuren at 407-646-2123. For a nominal fee, residents may also use the Alfond pool for $3/day or $35/month (alumni and seniors pay $25/month).
TPJ Artists & Scholars
The Office of Public Relations handles publicity and campus promotion for all Rollins College Thomas P. Johnson distinguished visiting authors and scholars. We will assist in the creation of promotional posters as well as fliers, which will be distributed to all faculty, staff and students on campus. Please contact the OPR and provide all information about the speaker at least four weeks in advance to allow sufficient evaluation, research, production and approval time. If all information is not provided at least four weeks in advance, we cannot guarantee maximum event publicity.
Please provide an electronic draft of the copy to be included in publication materials. Copy should include bio information about the visitor. If available, a photo of the visitor should also be provided.
Event details will be provided to local media calendar listings. If you would like the information sent to specific members of the media, please provide our office with an electronic list of names and e-mail addresses.
