Rollins Web
Guidelines
The Rollins College Web Guidelines are offered for your review and
reference in designing and updating Web pages. The objective of these
guidelines is to support the efforts of the Information Technology and
Public Relations departments in promoting clean, professional, consistent
messages in all College Web sites and to support the efforts of all
departments in providing current and relevant electronic information to the
entire College community through updated, easily-navigated Web sites.
These guidelines are designed to
assist Webmasters, designers and editors in meeting
their own electronic communications objectives and to assure that the College's Web
sites reflect the same high quality standards used for
print publications. All electronic media used to
communicate information about Rollins, including video
and Web images and pages, are considered an extension of

College Information Technology Department supports the
use of the following Web-related software programs:

Web Site Responsibilities
- The College's Information Technology Department
provides technical maintenance of the College's Web
site, computer servers and operating systems.
- All College department, organization and
individual Web sites are to reside on the College
servers unless special permission has been granted from
the IT Department.
- All administrative and academic departments are
encouraged to create and maintain their own Web sites
which will reside on the College servers. Departments
should designate an individual, or individuals, who will
be responsible for the content and maintenance of the
site.
- Departments and organizations should review
their Web sites and any navigation links on their sites
periodically to ensure that the off-site links work and
that the information presented is accurate and
up-to-date.
- When completing updates to Web pages or sites
that include name changes to the site name, notify the
Webmaster and any other affected parties (departments or
individuals who may link to your site) that your site
has changed names to particular pages and that the
change may
affect previously existing links.

General Web Site Content Policies
- Rollins College is
committed to academic freedom and to protecting the
rights of faculty, students and staff to exercise
freedom of expression. Users must respect the rights of
other users and comply with all federal, state and other
applicable laws, regulations and College policies when
posting information on Web sites.
- Use of the computer
facilities and Internet access is to be strictly within
the scope of the mission, goals and objectives of the
College. Use outside the mission of the College without
specific authorization may result in loss of access to
the computer facilities or more severe punishment. In no
circumstances is anyone authorized to use the College's
facilities for any illegal act. Operation of a
commercial enterprise on college equipment is not
permitted. Please

The sale of advertising on any Web site which
resides on the College server or which depends upon
College-operated servers for access is prohibited.

Home Page Content
Content on the Rollins home page is
overseen by the Office of Public Relations. Information under "News & Public
Relations" is primarily reserved for recent publicity
that promotes one of the College's core values of
excellence, innovation or community or to promote College events. We do not promote
campus events unless the event meets one of the
following criteria:

is of College-wide significance or
provides significant public relations value (e.g.,
Winter With the Writers series, a visiting artist, NCAA
championship or other major sporting event),
-
is of major
interest to the general public (e.g., a concert or an
appearance by a well-known dignitary), affects a
significant portion of a Rollins constituent group
(e.g., Family Weekend or Homecoming), or
-
is a fundraiser
for the College or one of its schools —Arts &
Sciences, Crummer or Holt.
For events that meet one of
these requirements, we will provide a headline with a
link to your information for a maximum of 30 consecutive
days (you may select the starting date). Please note
that you must submit the link and provide the prepared Web page.
We reserve the right to remove the headline if needed.
Your event might also appear on the home page under
"Upcoming Events" the week of the event. Should your
event fall outside the criteria listed, please contact Ann

Use of College Template
The Rollins home page is intended to have a unique
design with a separate departmental template that
resembles, but doesn't exactly duplicate, the home page.
Exceptions may be granted for major programs (such as
A&S, Crummer and Holt), but use of the home page design
should not be contemplated without discussion with the
College's Webmaster since 1) we'd need to ensure that
the same level of care is taken regarding its updating
and maintenance, and 2) this use may incur design
charges if the home page design is outsourced.
The College's
Information Technology Department has available a standard
template to make Web publishing efforts easier, and more
efficient and effective. When redesigning, reformatting or reviewing a
current Web site, we hope you will consider transferring
your existing site to this template. The College template design is
complete with a standard header and footer as well as the folders and files
needed to draft new pages.
The template also includes pre-formatting for normal
text, titles, headings, subheadings, font size and
type, and colors for fonts and background.
Click here for some alternative colors for standard
grey and blue. For reference, background colors for the College template
are:
- 08254A for blue,
- E8EAEC for grey,
- B49F6A is an acceptable alternative accent color
in gold.
This template can be obtained
from the College's Webmaster, who will also provide an
overview of and training in the use of the template.

Each departmental site
which uses the College template should also include a
link back to Rollins College's home page. In addition, a departmental footer on each page of
your Web site should be considered standard and include
the following:

name of the department or campus organization,

contact e-mail address, phone and street
address,

date of last review or update.

Questions to Ask
Consider addressing these questions as you progress
in the design, building and evaluation of your Web site:
- Who is your intended audience?
- What information do you want this
audience to have?
- How detailed should that
information be?
- Have you drafted your site with the
College template in mind?
- Does the site use the correct Rollins seal?
- Does the site use the correct Rollins colors? (If
you use the College template, these colors are
automatically loaded.)
- Is the information listed on all pages current and
correct?
- Is the site consistent from page to page?
- Is the site easy to navigate?
- Do all links work?
- Are the e-mail contacts current?
- Does the site include a link to the main Rollins
College home page?
- Does the site include a standard departmental
footer on all pages?
- Is the site effective in getting the message
and/or information across to visitors?
